How to keep equipment records for a small business

Start with one piece of equipment. Give it a clear name and an equipment ID, then record its Location. Photograph the equipment label and check the make, model and serial number. Keep that photo with the record so you can check the original details later.

What should an equipment record contain?

Include the equipment name and ID; Location; make, model and serial number; a clear equipment label photo; other equipment photos; manuals; invoices; and dated service history. Record electrical or other technical details only when you can read and confirm them. Leave unknown fields blank or mark them “Not recorded.” A missing manual should say “Not attached,” rather than imply that one is available.

What belongs in an equipment maintenance log?

After a service visit, add the date, what was done and who did it. Attach the invoice or service note when you have it. Keep earlier entries so the next person can see what happened before. Whether you call it an equipment repair log, an equipment service log or an equipment logbook, use the same equipment ID for every entry about that machine.
